    Job Description

    • Create and execute schedules on behalf of the Cancer Program.
    • Communicate with staff or key stakeholders who need assistance.
    • Keep organized records related to outreach events, cancer registry operations, and department coordination.
    • Serve as the backup to the department Executive Assistant when they are out of the office.
    • Support the program as needed.

    Requirements

    • High School Diploma or GED; Bachelor's Degree preferred.
    • Previous administrative experience preferred.
    • Strong administrative experience.
    • Skill in verbal and written communications.
    • Ability to manage multiple calendars and department directors.
    • Ability to set up training environments.
    • Ability to apply a creative lens to department collateral piece branding and positioning.
    • Ability to perform within a team environment and coordinate a wide range of internal and external programmatic activities.
    • Must be consistent and reliable.
    • Cheerful and positive attitude.
    • Must be able to demonstrate understanding of differing opinions.

    Essential Functions

    • Interact with co-workers, visitors, and other staff consistent with the values of Jefferson.
    • Manage and route phone calls appropriately.
    • Schedule in-house and external meetings as needed.
    • Distribute incoming mail.
    • Manage and order office supplies.
    • Manage shared calendars.
    • Address employee and client queries (via email, phone, or in-person).
    • Prepare miscellaneous agendas, presentations, spreadsheets, and reports.
    • Update office processes and procedures as needed.
    • Assist with outreach activities and screening events.
    • Assist with tumor boards.
