    Executive/Admin Assistant - Asset Management

    WhiteCap Search is looking to fill a new role on the Credit Team of a respected Asset Management company. This floating Executive/Administrative Assistant role is an exciting opportunity to grow and learn from senior level EAs across the team. This role will work 4 days in the New York City office from 9am - 6pm, with light overtime offered and competitive compensation and benefits!

    Job Description

    • Schedule and organize meetings, conferences, and off-sites
    • Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordination
    • Screen a large volume of incoming calls and greet guests in a professional and courteous manner
    • Update DealCloud with relevant meetings
    • Allocate and process expenses for executives using the Concur expense management system
    • Handle recruitment coordination and logistics for new employees on the team
    • Compose strategic communications and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy
    • Be available and reachable for occasional questions or concerns outside work hours
    • Coordinate closely with team and other assistants to provide back-up coverage
    • Establish, develop, maintain, and update filing system
    • Perform other related general administrative tasks as assigned and required
    • Send and track priority mail

    Requirements

    • Bachelor's Degree or 5+ years of administrative assistance experience or training, or equivalent combination of education and experience
    • Strong ability to prioritize, meet deadlines, and thrive in a fast-paced environment
    • Strong initiative and ownership of responsibilities
    • Exemplary interpersonal skills - tact, diplomacy, and poise are a must
    • Superb written and verbal communication skills and strong attention to detail
    • Team-oriented and collaborative attitude
    • Extensive knowledge of Microsoft Outlook (Excel, Word, and PowerPoint) and office administrative procedures and equipment
    • Experience leading collaborative admin teams is required
    • Experience in the finance industry is preferred but not required

    Compensation

    $80,000 - $100,000
