    Administrative Assistant

    Are you a detail-oriented and proactive professional looking to play a key role in supporting senior leadership at a hospital? We're looking for an experienced Administrative Assistant to provide high-level administrative and coordinative support to our Board of Directors at the Gulf Coast Medical Center.

    In this dynamic role, you'll be responsible for a variety of essential functions that keep operations running smoothly and efficiently. From preparing reports and tracking budgets to organizing meetings and handling complex correspondence, you'll make a meaningful impact on the organization's day-to-day activities while helping drive our mission to deliver excellent patient care.

    Job Description

    • Provide comprehensive administrative support, including research, data compilation, and report preparation for the Board of Directors.
    • Track and monitor departmental budgets, ensuring accuracy and timely reporting.
    • Coordinate and schedule appointments, meetings, and conferences, and manage logistics for Board-related events.
    • Prepare a variety of materials, including memoranda, agendas, contracts, technical charts, and other specialized documents.
    • Establish office procedures and maintain filing systems to ensure efficiency and organization.
    • Greet and direct visitors, manage phone calls, and provide exceptional customer service.
    • May assist with timekeeping duties and perform other department-specific tasks as needed.

    Requirements

    • Proven experience in administrative support or coordination, particularly in a senior-level or executive setting.
    • Strong organizational and multitasking skills, with the ability to manage competing priorities and deadlines.
    • Excellent communication skills, both written and verbal, with the ability to handle sensitive and confidential information.
    • Experience with budget monitoring and tracking, as well as preparing reports and data analysis.
    • Proficiency in office software (Microsoft Office Suite, scheduling tools, etc.) and the ability to adapt to new technologies.
    • A professional and customer-focused demeanor, with a keen attention to detail.
